Project & Executive Coordinator – Work from Home (Waikato Based)
We are working with a well-established, national organisation delivering maintenance and technology projects across New Zealand, across pronominally government contracts.
This is a unique opportunity to step into a high-trust, work-from-home role. You’ll play a key part in keeping projects compliant, organised, and running smoothly, while also supporting two busy Directors with executive assistant duties. This is not a typical admin role there is variety and the chance to work alongside the very busy leadership team.
The Role
This is a hybrid position combining project coordination, H & S compliance support, and executive assistance.
Your responsibilities will include:
- Supporting project teams who are on the job by collecting and documenting project requirements such as compliance and health & safety
- You will be uploading these documents to the relevant government or project departments in set time frames
- Maintaining accurate records and documentation, along with email management
- Coordinating project administration and deadlines
- Managing all H & S compliance paperwork, processes and reporting
- Assisting with reporting and general operational support
- Alongside this, you will provide executive support including:
- Diary management and scheduling
- Booking travel and coordinating logistics
- Minute-taking in meetings and board sessions – in person and via Zoom
- Managing emails and general administrative support
- Keeping Directors organised, informed, and ahead of schedule
About You:
You are a highly organised, proactive individual who thrives in a role where you can take ownership and make things happen. Working from hoe requires a trustworthy individual that has strong tine management skills
You will bring:
- Strong administration and coordination experience
- Exceptional attention to detail
- Excellent written and verbal communication skills in English
- Confidence working across compliance and structured processes
- The ability to manage multiple priorities and meet deadlines
- Great with people, team layer and a positive can-do attitude
You will also:
- Have a clean criminal record
- Be reliable, trustworthy, and highly organised
- Ideally be based in the Waikato or Near, with flexibility to attend occasional in-person meetings as required.
