Project & Executive Coordinator – Work from Home (Waikato Based)

We are working with a well-established, national organisation delivering maintenance and technology projects across New Zealand, across pronominally government contracts.

This is a unique opportunity to step into a high-trust, work-from-home role. You’ll play a key part in keeping projects compliant, organised, and running smoothly, while also supporting two busy Directors with executive assistant duties. This is not a typical admin role there is variety and the chance to work alongside the very busy leadership team.

The Role

This is a hybrid position combining project coordination, H & S compliance support, and executive assistance.

Your responsibilities will include:

  • Supporting project teams who are on the job by collecting and documenting project requirements such as compliance and health & safety
  • You will be uploading these documents to the relevant government or project departments in set time frames
  • Maintaining accurate records and documentation, along with email management
  • Coordinating project administration and deadlines
  • Managing all H & S compliance paperwork, processes and reporting
  • Assisting with reporting and general operational support
  • Alongside this, you will provide executive support including:
  • Diary management and scheduling
  • Booking travel and coordinating logistics
  • Minute-taking in meetings and board sessions – in person and via Zoom
  • Managing emails and general administrative support
  • Keeping Directors organised, informed, and ahead of schedule

About You:

You are a highly organised, proactive individual who thrives in a role where you can take ownership and make things happen. Working from hoe requires a trustworthy individual that has strong tine management skills

You will bring:

  • Strong administration and coordination experience
  • Exceptional attention to detail
  • Excellent written and verbal communication skills in English
  • Confidence working across compliance and structured processes
  • The ability to manage multiple priorities and meet deadlines
  • Great with people, team layer and a positive can-do attitude

You will also:

  • Have a clean criminal record
  • Be reliable, trustworthy, and highly organised
  • Ideally be based in the Waikato or Near, with flexibility to attend occasional in-person meetings as required.
